Applying a Project Management Mindset to Life Challenges
Life often throws curveballs, and navigating these challenges can feel overwhelming. However, using a project management mindset can turn obstacles into opportunities and better outcomes. As a project manager, I've found that many professional techniques apply to personal challenges as well. Here’s how I used this approach to resolve a frustrating rental property issue.
Earlier this year, I faced a recurring water leak in my rental property. Despite multiple maintenance tickets, and temporary fixes, the problem persisted for over two months, causing disruption and stress. Instead of letting emotions drive my response, I applied my project management mindset to address the root of the issue.
Here’s how I tackled this challenge:
1. Define the Problem Clearly: In project management, the first step is to clearly define the issue. This wasn’t just about a water leak; it was about the property management team failing to address the root cause.
2. Set Clear Goals: Like any project, I needed to establish what “success” would look like. A permanent fix, clear accountability, a timeline and commitment to permanently fix the issue.
3. Stakeholder Engagement: Communication is key in project management. I met with the property management team and came prepared with all my documentation—previous maintenance requests, photos of the damage, and a detailed timeline of the problem.
4. Action Plan: Similar to drafting a project plan with clear responsibilities and deadlines; I followed up with an email summarizing our discussion, agreed-upon steps, and timeline for repairs.
5. Monitor Progress: Like any project, monitoring progress is vital. I didn’t assume the issue would be resolved. I regularly followed up on the status of the repairs and made it clear that if deadlines were missed, I would escalate the issue. This kept the team on track.
6. Closing: As a project manager, I verified all work was completed. I documented the steps taken and outcomes achieved to help create a reference for handling similar situations down the line.
The Result: A Successful Resolution and Compensation
By using project management techniques, the water leak was permanently fixed. I also negotiated and received a 50% rent credit for the inconvenience. This successful outcome came from a clear strategy, effective communication and persistence. While life isn’t always predictable, applying PM principles helped me navigate and bring order to a chaotic situation.

The Essence of WoW in PMOs
WoW encompasses the methodologies, practices, and cultural philosophies that define how a PMO operates. It’s about identifying the most effective approach to manage projects, whether through predictive, agile, design thinking, or other emerging practices. The objective is to master multiple ways of working, enabling PMOs to apply the most suitable technique for each unique project scenario, thereby delivering outstanding results.
Action Steps to Embrace New Ways of Working
Assess Current Practices: Begin by evaluating your PMO’s existing methodologies. Understand what works well and where there are opportunities for improvement.
Foster a Culture of Learning: Encourage continuous learning within your team. Provide training and resources to help them stay abreast of the latest project management trends and techniques.
Adopt Agile Principles: Regardless of your primary methodology, integrating agile principles can enhance flexibility and responsiveness. Consider how aspects of agile can complement your current practices.
Implement Design Thinking: Design thinking can foster innovation and user-centric solutions. Incorporate this approach to solve complex problems creatively and effectively.
Leverage Technology: Utilize the latest PMO tools and software to streamline processes and improve collaboration. Tools like RAIDLOG, based on AI, can be particularly beneficial in managing project portfolios and ensuring all details are accounted for.
Promote Cross-Functional Collaboration: Break down silos and encourage collaboration between different departments. This can lead to more comprehensive solutions and a unified approach to project management.
Regularly Review and Adapt: Continuously review your WoW and be willing to adapt as needed. The business environment is dynamic, and so should be your way of working.
Measure and Analyze: Use KPIs and performance metrics to measure the effectiveness of your WoW. This data can guide decisions on which practices to continue, modify, or abandon.
Share Knowledge: Create a knowledge-sharing platform where team members can exchange insights and best practices. This can help standardize successful techniques across the PMO.
Champion Innovation: Encourage your team to propose innovative solutions and new ways of working. Reward creativity and initiative to foster a culture of continuous improvement.
Integrate Project Prioritization Tools: Implement tools like TransparentChoice to prioritize projects effectively. This is key in project portfolio management, ensuring that resources are allocated to projects that align with strategic objectives and deliver the most value.
